Beyond Passwords: Why Computer Safety Should Be a Priority in Human Services

Case Workers discussing security and data

In human services, the focus is (rightfully) on people—their safety, well-being, and the support they need to thrive. But in today’s connected world, protecting clients also means protecting their data. Cybersecurity may not seem like a frontline concern, but when client information is stored digitally, computer safety becomes a core part of responsible care.

Why Human Services Are a Target

Nonprofits and government agencies often assume they’re too small or not "worth targeting" when it comes to cyberattacks. Unfortunately, that’s not true. Human services organizations manage a wealth of sensitive information: names, addresses, health records, case notes, financial data, and more. This kind of information is highly valuable to cybercriminals, and smaller organizations are often seen as easier targets due to limited IT resources.

There are two shocking statistics published by the Modern Nonprofit that back this up. First, 60% of nonprofits have reported experiencing a cyber-attack in the last two years. Second, 70% of nonprofits lack a formal cybersecurity policy.

What Are the Risks?

  • Data Breaches: Unauthorized access to personal data can put clients at risk and damage your organization’s reputation.

  • Phishing Scams: Staff may receive emails designed to trick them into clicking malicious links or sharing login credentials.

  • Ransomware Attacks: A hacker locks access to your system and demands payment to restore it.

These aren’t hypothetical threats—they’re happening every day in organizations that didn’t think it could happen to them.

Simple Steps for Stronger Cybersecurity

While building a full-scale IT department might be unrealistic for some agencies, there are still important steps every organization can take:

  1. Use Strong Passwords: Encourage unique, complex passwords and consider implementing multi-factor authentication (MFA).

  2. Keep Software Updated: Ensure operating systems, case management platforms, and antivirus programs are regularly updated.

  3. Educate Staff: Train employees on how to spot phishing emails, suspicious links, and scams.

  4. Restrict Access: Limit system access to only the data and tools staff need for their roles.

  5. Back Up Regularly: Regular backups ensure you can recover data in the event of a cyberattack or system failure.

The Role of Case Management Software

A secure case management system does more than store data—it helps protect it. Look for software with built-in security features like user permission controls, encrypted connections, regular updates, and secure hosting environments. A modern system should also support compliance with data protection regulations like HIPAA or being willing to secure additional compliance such as SOC II.

Creating a Culture of Safety

Digital safety isn't just the IT team's responsibility—it’s a shared effort. When everyone in your organization is aware of cybersecurity best practices, you reduce the chances of a costly mistake. Build regular cybersecurity awareness into your training calendar and keep the conversation going year-round.

Safer Digital Spaces: Prioritizing Your Clients

Just like we train our teams to handle difficult client situations or follow safety protocols during fieldwork, we must also prepare them to operate safely in digital spaces. In the end, prioritizing computer safety is just another way of putting clients first.

For over 20 years, Global Vision Technologies—the team behind FAMCare Rapid Case Management—has been working tirelessly behind the scenes to help nonprofit organizations and government human service agencies keep their data secure. In today’s ever-evolving digital landscape, protecting sensitive information is more important than ever. We're here to guide you through modern data security practices and help ensure your agency remains protected.

Let’s start the conservation about securing your data for the future.

Let's have a conversation!
